How the calculation works
UK plant hire is conventionally priced in three blocks — day, week (7 days) and 4-week month — with each longer block costing less per day than the next shortest. For long hires, charging the customer purely at day rate is unfair and uncompetitive; rounding up to whole weeks or months can over-bill.
The standard fair split is: as many full 4-week months as fit, then full weeks, then any remaining days. This calculator runs that split, compares it against the three "rounded" pricing approaches and shows the lowest figure as the best customer price.
VAT is added on top at the rate you set (default 20% for UK hires). The refundable deposit is shown separately because it is not VAT-able and is returned on a clean off-hire.
Stop quoting from a spreadsheet
Opeux Hire does this calculation automatically every time you build a quote — and turns it into an e-signable hire agreement with the deposit, recurring weekly invoices and off-hire workflow built in.
